Monday Night Hospitalities

Hospitalities are held Monday Nigth from 7 to 9 pm.
Room Capacities range from 100 to 300 per reception, and we have availability for 6 Hospitalities. Come network with vendors, exhibitors, and colleagues from across the state.

Hospitalities are Public Rooms available to all PETE&C attendees
You must be a sponsor or exhibitor to host a Hospitality Room

Guidelines for Hospitality Events

This request will be forwarded to the Hershey Lodge and will serve as the exhibitor’s notice to reserve a hospitality room. Payment in full must be included with your registration to be processed. The main purpose of the conference is to provide professional development programming for PETE&C Attendees, and the evening Hospitality activities may not conflict with this purpose; therefore, Business members are expected to comply with the following rules:

Hospitality rooms may only be open during the hours indicated above.
Do not request food or beverage delivery from Hershey Lodge more than one hour before the start of the event.
Hospitality rooms must be operated within the rules and regulations established by the Hershey Lodge.
All requests for hospitality rooms must be approved by PETE&C. This is to include date(s) and the name of the representative in charge.
The PETE&C Board must approve all Hospitality activities.
The Hershey Lodge is a smoke-free facility.

Vendor attendees (exhibitors and sponsors) hosting a Hospitality event must observe these rules or it may result in a cancelation of the event and/or prohibition from conference activities this year and in the future.

Exhibitor & Sponsor Registration

SPONSORSHIP OPPORTUNITIES
Various sponsorship levels are available to both exhibitors and non-exhibitors at PETE&C, ranging from $2,000 to $10,000. Sponsor benefits vary based on the sponsorship level, but all sponsor opportunities include at least one conference registration with access to all sessions, onsite presence, and some level of signage. EXHIBIT BOOTH RESERVATIONS
Early Bird reservations are $1300 per booth, if you register and pay in FULL by October 31, 2023. After which the price goes to $1,600 per booth. Quad booths are $4,800 during the Early Bird period and $5,400 after. All booths are first come, first served, and to hold a booth(s), you need to submit a deposit equal to one booth payment ($1,300 Early Bird; $1,600 after).

Monday, February 5 - 10:00 am - 5:00 pm
Tuesday, February 6 - 9:15 am - 2:15 pm

PAYMENT FOR SPACE - In order for your booth assignment(s) to be processed, the cost of one exhibit space or sponsorship is due along with the submission of the contract terms to be executed on the payment page. Any payment not received in FULL by October 31, 2023 will not be eligible for Early Bird pricing, and any booth(s) or sponsorship that still have a balance due after December 31, 2023 can be released without refund and booths and sponsorships can be resold. Vendor purchases made after December 31, 2023 will have a 2 week grace period to pay their balance in full.

CANCELATION POLICY - Exhibitor Registration can be canceled by sending a cancelation notice by email to registration@peteandc.org or physically to PETE&C at 2608 Market Place, Harrisburg, PA 17110. Your refund request must be received by the specific dates listed below to receive a full or partial refund:

Full Refunds will be issued for cancelations received prior to November 1, 2023.
A $300 Service Charge will be applied to cancelations between November 1 and December 22, 2023.
No REFUNDS will be approved for requests received after December 22, 2023.

COVID CANCELATION POLICY - If PETE&C cancels the conference or changes to an all-virtual format, the booth/sponsor contact person will be notified and have the option to request a full refund or apply payment to a sponsorship at the virtual conference. Refunds will be processed within 60 days of request.
